This policy explains how Preston Podcast Studio and Media Ltd (company number 16904034), trading as Preston Podcast Studio ("we", "us") collects and uses personal information when you visit prestonpodcast.co.uk, contact us, book a session or work with us. We are the data controller for this information.

What we collect

  • Enquiries: your name, phone number, email address and anything you write in our contact or enquiry forms.
  • Bookings: the details you give when you book a consultation or session, including your name, email, phone number and appointment time.
  • Clients: your business details, billing details and the communications we exchange while working together.
  • Recordings: the video, audio and photos we capture of you and your guests during sessions, and the content we edit from them.
  • Website use: information about how you use our site, such as pages visited, device and browser type and approximate location, collected through cookies and similar technologies. See our Cookie Policy.

How we use it, and our lawful basis

  • To reply to enquiries and arrange consultations (our legitimate interest in responding to people who contact us, or steps you ask us to take before a contract).
  • To deliver the services you buy, including filming, editing, publishing and running ads (performance of our contract with you).
  • To invoice you and keep financial records (legal obligation and contract).
  • To measure and improve our website and advertising (consent, where cookies require it, otherwise legitimate interests).
  • To show examples of our work, such as clips, photos or testimonials, only where you have agreed (consent). You can withdraw this at any time.
  • To send you occasional updates about our services if you are a client or have asked us to (legitimate interests or consent). You can opt out at any time.

Who we share it with

We do not sell your personal information. We share it only with service providers who help us run the business, under appropriate agreements, including:

  • Squarespace (website hosting, forms and payments)
  • Calendly (booking consultations and sessions)
  • Meta and Google (advertising and measuring ad performance)
  • Google and YouTube (reviews display and embedded videos)
  • Elfsight (website widgets such as reviews and pricing tables)
  • Notion (our client and enquiry records)
  • FreeAgent (accounting and invoicing)
  • Our email provider, and our accountant where needed

Some of these providers process data outside the UK. Where they do, we rely on the safeguards UK data protection law allows, such as the UK International Data Transfer Agreement or adequacy regulations.

We may also share information if the law requires it.

How long we keep it

  • Enquiries that don't become clients: up to 2 years after our last contact.
  • Client and financial records: 6 years after the end of the tax year they relate to, as required for tax purposes.
  • Raw footage and project files: for as long as we need them to deliver and support your content, and then deleted, unless we agree otherwise with you.

Your rights

Under UK data protection law you can ask to access, correct or delete your information, ask us to restrict or stop using it, object to how we use it, and ask for a copy in a portable format. Where we rely on consent you can withdraw it at any time. To use any of these rights, email hello@prestonpodcast.co.uk. We will reply within one month.

If you're unhappy with how we've handled your information, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The date at the top shows when it last changed.
